Scope and implementation plan
You get a written plan covering what gets organized, in what order, what it costs, and what we need from you. Nothing starts before you agree to it.
Organization and migration
We digitize, sort, and file your records into a consistent structure inside your own Google Workspace, reconciling duplicates and conflicting versions as we go.
Workflow and application setup
We set up the forms, workflows, and application access your team will use day to day, shaped around how your business already works.
Training, launch, and ongoing improvement
We train your team, launch, and stay on to adjust things as you use them. Improvements continue after go-live rather than stopping at it.

- Setup starts at $1,500, due when you sign.
- The first year is an annual plan, and your 3 onboarding months are free as an introductory offer. Your first-year payment is due at handoff, when onboarding ends.
- After the first year your plan renews annually and you save the cost of two months, or you can switch to month to month.
- Every plan includes Google Workspace with 2 accounts. Additional Workspace users are $20 per user per month.
- Schwade Core and Schwade Advanced include online payments at 4.5% per online payment, minimum $1, with Stripe's processing fees included.
- Prices include applicable sales tax.
- Provider usage, unusually large migrations, bespoke development, and work outside the agreed scope can cost extra.
- Existing customers can move up a service level without paying another standard setup fee.

- What happens during the data assessment?
- We walk through where your information currently lives: filing cabinets, spreadsheets, email, shared drives, accounting software, photos, and whatever else has built up over the years. We look at how much there is, what condition it is in, how it is accessed, and how your team works with it today. You get a written scope and a setup price from that review.
- Can you work with paper records?
- Yes. Paper records are one of the main reasons businesses call us. We digitize job folders, contracts, test records, signed documents, and photographs, then file them into a consistent structure alongside everything that is already electronic. Volume, condition, and whether pages need OCR all affect the setup price.
- Do I have to replace all of my current software?
- No. Most businesses keep their accounting software, and Google Workspace stays where your files live. We organize around what you already use and reduce the places where the same information is kept twice. If something genuinely needs to be replaced we will say so, but replacing your whole toolset is not the goal.
- Who owns my information?
- You do. Records are organized inside your own Google Workspace, on your domain, in accounts you control. We work through documented administrative access. If you leave, you get standard exports and an administrative handoff, and your information stays where it already is.
- Can I begin with Data Foundation and upgrade later?
- Yes, and most businesses do. Data Foundation is setup starting at $1,500 plus $200 per month. Schwade Core is $350 per month and Schwade Advanced is $700 per month, and moving up does not trigger another standard setup fee.
- Is the application completely custom?
- It's built around you, even though it's not built from scratch for every customer. Schwade Core gives you customer, property, and job records, search, dashboards, reports, and scheduling. Configured to match how your business runs day to day. Schwade Advanced adds workflows and plugins built for your industry, and we keep improving those plugins using what we learn from the businesses actually using them, including yours. If you need something fully custom beyond that, we scope and quote it separately.
- Can this help prepare my business for a sale or assessment?
- Yes, this is exactly the kind of preparation that makes a real difference. When your job history, service records, contracts, signed documents, photographs, compliance records, and repeat-customer history are organized in one place instead of scattered across filing cabinets and drives, you go into a sale, financing conversation, or transition with real, documented evidence of what your business has built, not just your word for it. - Does BP Systems provide a formal business valuation?
- No. We don't perform valuations, appraisals, audits, brokerage, accounting, legal analysis, or quality-of-earnings reviews, and nothing we produce should be treated as one. What we do is make sure the professionals who handle that work have clear, complete, well-organized records instead of having to piece your history together themselves, the difference between a rushed process and a smooth one. Organized records don't replace a valuation. They make it possible to get a good one.
- How long does implementation take?
- Most implementations run 4 to 6 weeks, depending on the systems you already have and what you need. A business with mostly electronic records moves faster than one with two decades of paper job folders, and the assessment is what tells us which one you are. You get a firm timeline in the written plan before any work starts.
- What happens if I stop using the service?
- Your records stay yours. The first year is an annual commitment. After that you can renew for another year, switch to month to month, or leave with 30 days' written notice before your renewal date. At offboarding you get standard exports and an administrative handoff, and your Workspace, domain, and provider accounts remain in your name throughout.
- Is AI required?
- No. AI is a capability in Schwade Advanced, not a requirement. Data Foundation and Schwade Core involve no AI assistant at all. It is worth using only after your records are organized, because analysis of disorganized information is not worth much.
- Will my information be used to train AI?
- No. Your business information is not used to train AI models. The AI assistant available in Schwade Advanced works against your organized records to answer questions for you, and it is something you opt into rather than something switched on by default.
- What causes the setup price to increase?
- Setup starts at $1,500 and rises with the size and difficulty of the job: how many records there are, what form they are in, what condition they are in, whether pages need OCR, how many separate systems hold information, how access is arranged, and how much reconciling duplicate or conflicting versions takes. The assessment is what turns those factors into an actual number.
